Software migration without the pain: moving to a ZATCA-ready system
How Saudi businesses can migrate stock, customer, supplier and accounting data from an old billing system to a ZATCA Phase 2 ready POS or ERP with no downtime.

“If you can’t describe what you are doing as a process, you don’t know what you’re doing.” That line sums up software migration. Many Saudi businesses are running billing systems that were fine for years but can’t meet ZATCA Phase 2, can’t handle another branch, or are no longer supported by the vendor. Replacing them feels risky because everything, from stock to customer balances, lives inside. With a clear process, it doesn’t have to be.
Why software migrations fail
- Dirty data. Duplicate items, wrong units and old customers get copied into the new system.
- No agreed cut-off. Sales continue in the old system while balances are moved, so nothing reconciles.
- Untrained staff. Cashiers meet the new screens for the first time on a busy day.
- Forgotten integrations. Weighing scales, printers, delivery apps or e-commerce stop working.
What data should you move?
- Item master with barcodes, units and prices
- Opening stock per branch and warehouse
- Customers with VAT numbers and balances
- Suppliers and outstanding payables
- Chart of accounts and opening balances
- Post-dated cheques
- Users and permissions
- Recipes (for restaurants)
Old transactions usually stay in the old system as a read-only archive. Bringing years of history across adds cost and risk for little benefit.
A safe migration plan
Study the current system
Map every report and process people rely on today.
Clean and export master data
Fix duplicates and units before import, not after.
Trial import and parallel test
Run the new system next to the old one for a few days on test data.
Train by role
Cashiers, store keepers, accountants and managers each learn their own screens.
Agree the cut-off
Pick a quiet day, freeze the old system and take closing stock and balances.
The cut-over weekend
On the agreed day, we import the final balances, onboard every counter with ZATCA, test a sale, a return and a purchase at each branch, and stay on call for the first trading days. Your old system stays available read-only for reference and audits.
